This policy (together with our site terms of use and any other documents referred to on it) sets out the basis on which any personal information we collect from you, or that you provide to us, will be processed by us.

By registering, requesting information or otherwise contacting us on or through our site, you consent to the collection, use and transfer of your information under the terms of this policy.
 
For the purpose of the Data Protection Act 1998 (the “Act”), the data controller is Kafevend Group Limited of The Fleming Centre, Fleming Way, Crawley, West Sussex, RH10 9NN.

Information we may collect from you

We may collect and process the following information about you:

-Information that you provide by filling in forms on our site. This includes information provided when you visit, register or order products or services on our site. You may be asked to provide certain information about yourself or your business including your name, contact details and, if appropriate, your position within your business, the business size and relevant credit or debit card information. We may also ask you for information if you enter a competition or promotion sponsored by Kafevend Group Limited, and if you report a problem with our site.

-We may also receive information about you from a third party such as credit reference agencies (to assess your credit rating).

-We may also collect information about your usage of our site as well as information about you from e-mails or letters you send to us.  

-If you contact us, we may keep a record of that correspondence.

-We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.

-Details of transactions you carry out through our site and of the fulfilment of your orders.

-Details of your visits to our site and the resources that you access.
 
Where we store your personal data

The data that we collect from you will be held on our computers or the computers of the person engaged to host our server in the UK and may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

Where we have given you (or where you have chosen) a user name or password which enables you to access certain parts of our site, you are responsible for keeping this user name and password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Uses made of your information


Your information will enable us to: -

-provide you with access to all parts of our site; and

-provide you with information, goods or services that you have requested from us or which we feel may interest you, where you have consented to be contacted for such purposes;

-carry out our obligations arising from any contracts entered into between you and us;

-allow you to participate in interactive features of our service, when you choose to do so; and

In particular, we may use your information to contact you for your views on our goods or services and we may, at our discretion and without any obligation whether continuing or otherwise, notify you occasionally about important changes or developments to the site, our services or our goods.  Further, where you have consented, we might also use your information to let you know about other goods and services which we offer, which may be of interest to you including drinks and snacks vending equipment and products and such other services or products offered by Kafevend Group Limited and we may contact you by post, telephone or fax, as well as by e-mail.  If you change your mind about being contacted in the future, please let us know.

If you have consented and in the interests of security, we may also use your information to undertake a credit reference check through a credit reference agency. The agencies record these searches. We also share information about you and the conduct of your account with credit reference agencies and relevant third parties.

Information about you and, if applicable, those with whom you are financially linked will be used to verify your identity and for the credit assessment of you and them.

We may also use your information for payment recovery or fraud and debt tracing. We will pass on details of defaulting accounts to debt collection agencies.

Disclosure of your information

The information we collect from you may be accessed by or given to our staff working outside the UK, if applicable, and third parties including Kafevend Group Holdings Limited and companies within the Kafevend Group Holdings Limited group that act for us for the purposes set out in this policy or for other purposes approved by you.  Those parties may, as applicable, process information, fulfil and deliver orders, process credit card payments, process and undertake credit reference checks and provide support services on our behalf.  We may also pass aggregate information on the usage of our site to third parties but this will not include information that can be used to identify you.

Where you have consented when providing us with your details, we may also allow carefully selected third parties, including other companies in our group, to contact you occasionally about products and services which may be of interest to you including drinks and snacks vending equipment and products and such other services or products offered by Kafevend Group Limited.  They may contact you by post, telephone or fax, as well as by e-mail.  If you change your mind about being contacted by these companies in the future, please let us know.
 
Finally we may disclose your personal information to third parties in the following circumstances: -

-If our business enters into a joint venture with or is merged with another business entity, or we sell or buy any business or assets, in which case we may disclose your information to the prospective seller or buyer of such business or assets,  our new business partners and their professional advisors.

-If Kafevend Group Limited or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.

-If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use or terms and conditions of supply (if applicable to you) and other agreements; or to protect the rights, property or safety of Kafevend Group Limited, our customers or others.

Unless required to do so by law, we will not otherwise share, sell or distribute any of the information you provide to us without your consent. 

IP addresses and Cookies

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. This is statistical data about our users' browsing actions and patterns, and does not identify any individual.

For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies are small amounts of information, which we store on the hard drive of your computer. Unless you have indicated your objection when disclosing your details to us, our system will issue cookies to your computer when you log on to our site. Cookies make it easier for you to log on to and use our site during future visits.  They also enable us to monitor audience size and usage pattern, speed up your searches, recognise you when you return to our site and to store information about your preferences and so personalise the content of our site for your interests.

Security and data retention

We employ security measures to protect your information from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage.  We will retain your information for a reasonable period or as long as the law requires.

Your rights

You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing, on the forms we use to collect your data.  You can also exercise the right at any time by contacting us at the address, telephone number and e-mail address stated below.

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates.  If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data to these websites.

Accessing and updating information

You are entitled to see the information held about you and you may ask us to make any necessary changes to ensure that it is accurate and kept up to date in accordance with the Act.  If you wish to do this, please contact us.  We are entitled by law to charge a fee of £10 to meet our costs in providing you with details of the information we hold about you.
 
Changes to our privacy policy

This policy is effective 28th March 2011. Any changes we may make to our privacy policy in the future will be posted to our site and, where appropriate, through e-mail notification.
